Information@Work Enterprise transforms document management at Caerphilly

Information@Work Enterprise is helping Caerphilly's Revenues and Benefits team work faster and more efficiently.

The need for change

Revenues and benefits is a high-pressure department where slick processes are key. So when the workflow in their corporate EDM was de-supported by the supplier, Caerphilly started the search for a replacement. Sean O’Donnell, Principal Officer for Council Tax and Non-Domestic Rates, explains: “With more than 80 staff and a heavy workload, we needed a more sophisticated system than our corporate EDM supplier could provide. After a lengthy procurement process that looked at cost, functionality and ease of integration, we chose Information@Work Enterprise from NPS.” Caerphilly’s revenues and benefits team went live with Information@Work Enterprise in May 2019.

Maximising the benefits

The move from Caerphilly’s old EDM to I@W Enterprise was seamless. All documents relating to the council’s 80,000 properties and 21,000 benefit claimants were migrated successfully and with minimal down time. And because I@W offers real-time integration with a wide range of back office systems, it now works perfectly alongside the third party revenues and benefits solution used by Caerphilly. To extend the benefits, the council upgraded to the latest version of Enterprise (v5.20) in January 2020. This means they can take advantage of additional features, like the new scanning module with its modern, easy to use interface. In future, the team will also be looking at how to use Enterprise’s web-based interface to enable home working.
